Ease of Use

How a proper use of BudgetInMind features drastically reduces transaction entry time

Since we know that entering your account transactions can be tedious and time consuming, BudgetInMind offers a set of tools to accelerate such entries and minimize work duplication. After your first month using BudgetInMind, you’ll see that the next month will consist of >80% of the same transactions.

Why re-create them when you can reuse the job you’ve done already? This section will present all the ways to make your entry easier and faster.

BudgetInMind for Mac  users can read section 5.0 of the help documentation to see in details all the available options.

  • Account Auto-Completion

    BudgetInMind allows an infinite number of accounts. Some are for a given user, or currency, or only visible for a given time period. Why should all the ‘obsolete’ accounts be visible? Furthermore, why should you have to go through a very long list to find what you want?

    Through the Account Structure View, you can change each account visibility for each {Year, User, Currency} triplet.

    Besides, in BudgetInMind for Mac, each account listbox in the Book View has an auto-completion feature. On the iPad version, just click on the account textfield to select it from an intelligent menu.

  • Filtering the Book

    BudgetInMind allows you to filter the Book to show only those transactions that you care about. You can on a given month or bank institution, or simply type some text.

    Don’t forget to remove the filtering once not needed anymore
    If you leave the filtering on, you will not see all the lines. Sometimes, you feel that some lines have disappeared. It’s most likely because a filter is still on!

  • Clone an existing entry

    Why re-create them when you can reuse the job you’ve done already? You can clone any existing entry to duplicate it.

    Select an existing entry to modify it, deselect it to create a copy by prepopulating all fields

  • The Scheduler gathers all your recurring entries

    Most of the transactions you do every month are similar, if not identical, to those you made the month before. For instance, your salary falls every 2 weeks, you get interests every month, you pay for your rent, your loan, your food, your utilities, etc… While the amounts and date may vary slightly, the accounts are the same.

    The scheduler allows you to store recurring book entries, set their periodicity (from every two weeks to once a year), and insert them all at once in the month of your choice in one operation.

  • Leverage shortcuts

    The Scheduler aims at automatically adding stable, reccuring book entries. But sometimes, you want to quickly use a template that doesn’t fit well with a scheduled entry since you never know how many times you use it per week or month. This is typically the case for food purchases, or gas for your car. You tend to always use the same accounts, but the date and amount change all the time.

    BudgetInMind offers several ways to quickly create your book entry skeleton so that you can focus on the date, and amounts.

  • Setting the Verif Flag (reconciliation)

    BudgetInMind manages 3 types of balance (actuals, web, statement). The verification flag on each transaction control each of those balances values. The verification flag is used to verify your accounts against the bank. There are the following 4 levels (entered, scheduled, web, statement). To update the reconciliation flag, just click on the verif flag image and select the new level from the popup. You can perform this operation from the Book or the Account views.

    While you can update the verification in the Book View we highly recommend that you open the bank account view you want to update. This way, you will see an exact repliqua of the bank statement you are looking at, either online or on paper.

  • Using Colors

    Since your book transactions can be single line or multiple lines, you need to set a quick visual difference between a transaction with a single line and a book entry that has several lines.

    Using color for multiple lines entries:

    We recommend that you use a black text color for single line entries and set another text color for multiple lines entries.

    Using a background color for scheduler entries:

    The scheduler generates all regular book entries for you. Since these entries have not occurred yet and you have no receipt for them yet, you need to quickly find them in the Book View.
